How to write a travel proposal people can actually vote on

Include the full cost, dates, location, cancellation terms and practical trade-offs. Practical steps and a worked example.

‘Should we book this?’ is not a complete proposal when ‘this’ is a hotel link, an old screenshot or a price that excludes half the fees. Make the decision understandable without asking the crew to reconstruct your research.

1. Name the exact commitment

Describe the place, dates, duration, room or ticket type and people covered. State whether you are seeking permission to research further, acceptance of the plan, or a separate booking instruction. Those are different decisions.

2. Show the whole cost boundary

List the currency, total and allocation basis, mandatory extras and exclusions. Mark an estimate as an estimate and record when the quote was checked. Put cancellation and payment deadlines beside the price, not at the bottom of a long chat thread.

3. Explain the compromise

Every option gives something up. Say whether the saving means shared bathrooms, a longer transfer or less flexibility. Add one clear response deadline and a named person responsible for resolving missing facts.

Worked example: what this looks like

Fictional scenario—not a real customer story or executed AI result.

A proposal changes from ‘Villa A, $300 each?’ to ‘Three nights, six adults, three double rooms; fictional accommodation total AUD 1,800 plus AUD 240 cleaning, split equally = AUD 340 each before transport. Refundable deposit excluded from that cost; terms not yet confirmed.’ Two friends then notice the bed arrangement does not work. Catching that before a yes vote is progress, not a failed proposal.

A proposal needs a stable meaning from the moment people read it to the moment someone acts on it. Keep the dates, people, total-cost basis and important conditions together. If those facts change, explain the new version instead of silently editing the commitment beneath an earlier response.

Do not confuse three separate stages: an idea is worth considering, the group supports a specific proposal, and the affected people have authorised the booking and their contribution. A ballot helps with the middle stage. It does not verify supplier availability or move money.

Before closing the discussion, write the next action as a sentence with an owner: “Jordan will confirm the exact room arrangement by Thursday, then ask the crew to approve the current booking total.” That is more useful than “sorted”.

Before you call it settled

  • The proposal means the same thing to everyone reading it.
  • Hard constraints are handled before preferences are compared.
  • Each person chooses their own response; silence is not a payment instruction.
  • The actual ballot result and settings are understood.
  • A named person owns the next supplier or booking check.

Update the proposal if a material fact changes. Do not rely on votes cast against a cheaper, shorter or more flexible version to approve a different commitment.
