How to choose between two villas fairly

Two villas can advertise the same number of guests while offering very different holidays. A sofa bed, distant supermarket or awkward bathroom layout can matter more than the swimming-pool photo. Build the comparison around actual sleepers and daily use.

1. Compare sleeping arrangements

List each real bed, bedroom and bathroom. Match them to the group’s agreed sharing needs. Capacity is not proof of comfort: eight advertised spaces do not automatically create four equivalent rooms.

2. Compare door-to-door costs

Add mandatory fees, airport transfers, local transport and any costs caused by the location. Show refundable deposits separately from consumed holiday spending. Check the cancellation terms for the exact rate.

3. Make the choice visible

Put both options into the same short table and identify the main compromise. If both pass the requirements, ask the group to choose according to its pre-agreed priorities rather than comparing a luxury highlight reel with a list of the other property’s flaws.

Worked example: what this looks like

Fictional scenario—not a real customer story or executed AI result.

Villa A has a fictional total of AUD 2,400 plus AUD 360 transport. Villa B costs AUD 2,700 with AUD 60 transport. Both total AUD 2,760. For six people that is AUD 460 each before food. Villa B also has the needed separate beds. The cheaper headline rate was not the cheaper whole-trip option.

Make the decision bookable, not merely popular

A proposal needs a stable meaning from the moment people read it to the moment someone acts on it. Keep the dates, people, total-cost basis and important conditions together. If those facts change, explain the new version instead of silently editing the commitment beneath an earlier response.

Do not confuse three separate stages: an idea is worth considering, the group supports a specific proposal, and the affected people have authorised the booking and their contribution. A ballot helps with the middle stage. It does not verify supplier availability or move money.

Before closing the discussion, write the next action as a sentence with an owner: “Jordan will confirm the exact room arrangement by Thursday, then ask the crew to approve the current booking total.” That is more useful than “sorted”.
